You trust us with some of your information when you use Krish-V FMS’s services via the website or the App. We understand this is a big responsibility, and we are always working hard to keep your information safe and secure and give you control over your data. We are already ISO 50001:2018 – ISO 45001:2018 – ISO 40001:2018 certified & PSARA Certified. We adhere to privacy of Personally Identifiable Information (PII) under GDPR readiness. This Privacy Policy section is meant to help you understand what information Krish-V FMS collects, why we collect such information and how you have complete control to update, manage or delete your information.

Introduction

Krish-V FMS is a comprehensive security and community management platform that helps millions of users make their lives safe, secure and convenient. Our various services include:

Accounts & Payments Management: Krish-V FMS will soon feature an end-to-end accounting module to simplify the management of finances for Resident Welfare Associations. This feature will be available after Phase-2 development of the APP. The Residents will be able pay various bills like maintenance, Water, and other utility bills via the App.

Visitor Management: Krish-V FMS’s technology enhances security by ensuring a process of visitor approval managed by the residents, who can now control who to allow on the premises. Delivery Management: With Krish-V FMS, users can have their deliveries left at the gate, in case they are unavailable at home – and pick them up at their convenience.

Security Alert: In case of an emergency, residents can alert their security personnel at the click of a button on the App.

Child Security: Resident parents can require their security guards to check whether their children have permission to exit the premises (This feature doesn’t require any details of children to be collected).

Clubhouse Management & Amenities’ Booking: The management committee of a Residents Welfare Association can use this feature to ensure that the clubhouse area is restricted to residents and their guests, understand usage trends, and even implement a booking feature for certain facilities.

Helpdesk and Communication: With Krish-V FMS Communication Management, the management committee can create opinion polls and can have their complaints resolved by raising an issue to the concerned person and starting a discussion, posting an idea or providing feedback.

Homes: Krish-V FMS connects landlords/owners/residents desirous of selling/renting/leasing their homes/houses/apartments/villas/properties with other interested users looking for such properties.

Krish-V FMS connects the community – the residents, RWA, facility management, security personnel, daily help, visitors and Service Providers – through the App to improve security and convenience.
Apart from using our services, all users can use our Web and App in various ways to manage their data privacy.

Information Krish-V FMS Collects

We would like you to understand that the information collected via the Krish-V FMS app or website is to help us provide you with superlative service.
The information Krish-V FMS collects and how that information is used depends on how you use our services and manage your privacy controls. For example, for standard Krish-V FMS services, only your flat details, name, and number will be needed. However, additional information may be required to render services if your society uses advanced features like Accounts and payments.

Information collected on the Krish-V FMS app and website:

Residents: Name, Email address, Mobile number, Secondary Mobile number, your apartment/villa number, tenant or owner, vehicle number (if any) and any other optional information, including biography, interests, photographs, reviews, content, communications, posts, listings, payment information, address book etc. as you may have chosen to provide on Krish-V FMS.

In the event vehicle details are shared, we may obtain publicly available data from RTOs and third-party service providers based on the vehicle registration number to provide value-added services to you.

Guests: Name and resident flat to be visited. No other guest information is required on the Krish-V FMS App for entry at the gate. (Note: Individual Resident Welfare Association (RWA) may mandate additional information such as phone number, photograph, etc., which is totally at the discretion of respective RWAs.)

Service Providers to Society/Individual Homes: The name, phone number, resident flat to be visited (if any), vehicle number (if any), entry/exit time, identity proof, visit purpose and photograph. For security reasons, some personally identifiable information of service providers, including delivery executives, is taken at the gate as per the discretion of the respective RWA and appropriate local laws. Further, certain financial information may be required to facilitate payment processing through our payment service providers. As making payment may require utilizing the services of the payment service providers, you will be subject to the terms of use and privacy policy of such payment service providers.
Additional information: IP address, Webpages visited (Pages) https://krishvfacilitymanagement.com visited by the User; a standard practice to optimize user experience and curate content of a website), browser, device and operating system information (including device ID, Android ID, Apple IDFA ID etc.), mobile network information, the date, time, and referrer URL of your request (the website from which the User was redirected to https://krishvfacilitymanagement.com ; a standard practice to track and compensate the originator of traffic to Krish-V FMS website, such as when a visitor clicks on a Google ad for Krish-V FMS.)
We collect standard website access information (type of browser, etc.) using cookies and similar technologies on all our websites (https://krishvfacilitymanagement.com ). We do this to measure, improve and personalize our services for you, and we do not share this information with any third-party organizations for commercial purposes.
We don’t sell or trade user information in any form to anyone. The information is solely used to enable services and improve your experience on Krish-V FMS platforms. On a case-to-case basis, we give you great value added from third-party partners, where information will be shared after your explicit consent.

How The Information is Collected

Krish-V FMS provides its services through our website and mobile App (collectively called “Platforms”). User information is collected via our platforms directly or indirectly to give a great product and service experience.

Direct Information: All personally identifiable information, as mentioned in the “Information Krish-V FMS Collects” segment, is explicitly collected on the platform where users fill in their details and give necessary consent to be contacted or for their information to be used by Krish-V FMS to serve them better via the platforms. We do not consider personal information to include information that has been made anonymous or aggregated so that it can no longer be used to identify a specific person, whether in combination with other information or otherwise.
Indirect Information: Information like IP address, device data, browsing data and other information as detailed in “Information Krish-V FMS Collects” is collected while the User interacts with our platform. The same is collected to make user experience on our platforms better. Such non-personally identifiable information (non-PII) may also be provided to third-party advertisers to ascertain your interests and serve advertisements on third-party platforms.

Why The Information is Collected

We use information collected from users to provide our services. The data is collected on the Krish-V FMS website as per discretion and inputs given by users. On the mobile App, information is collected per our agreement with RWA of societies who act as an extended service provider to all residents.
Following are the critical services which will require information collected

• Account set-up and administration
• Verification of your account
• Personalization of content, business information or user information
• Periodically communicate with you (like new feature/benefits introduction, newsletters, contests, feature usage guidance, compliance requirements, offerings, etc.)
• Use by third-party advertisers of information to provide interest-based advertisements on third-party platforms. Krish-V FMS shares no personally identifiable information without consent from the User.
• To provide accurate insights to Users
• To provide additional value-added services that you may avail from Krish-V FMS
• Legal obligations and meeting internal audit requirements (non-guest visitor information)
• Information is used to improve the safety and reliability of services across platforms. This includes detecting, preventing and responding to security risks, fraud or technical issues that can harm our users or Krish-V FMS.

User Privacy Controls

Krish-V FMS ensures that you completely control the information we collect and how it is used.
This section describes critical controls for managing your privacy across our platforms and services. In addition, we provide a few other mechanisms by which users can reach out to us to modify or erase the information available to us.

Managing, reviewing, and updating your information:When you’re signed in, you can always check and update information by visiting the services you use. For example, you can change your contact details, such as your name, email and phone number.

Choice to Opt-out: We provide all users with options to opt-out from receiving notifications pertaining to Entry/Exit, Payments, Helpdesk, Homes and Amenities. This can be done directly on our platform. The opt-out may not apply to promotional and marketing messages served by or in partnership with the Resident Welfare Associations or their management committees on the notice boards of the relevant society. You may contact the Resident Welfare Association directly to remove such promotional and marketing messages.

Unsubscribing, removing and deleting your information: If you choose to unsubscribe from our platforms or delete any or all of your information, you can delete your apartment and then uninstall the App. In addition, you may also email fms@krishvglobal.com for specific details about your account or the deletion of your account history. However, such deletion of particular information may require the approval of the RWA. We may still retain some information and records of transactions for a specific period as required by any law, contract with RWA or policy as applicable.

Sharing Your Information and Disclosures

We may disclose personal information that we collect or you provide, as described in this privacy policy, in the following ways:

For General Information Disclosures:

• To our subsidiaries and affiliates, entities under common ownership for providing our Services or to comply with applicable laws.
• Krish-V FMS uses Third Party Service Providers to provide a variety of services on our behalf, viz., Communications Services (SMS, Push Notifications, Emails, IVR Calls, WhatsApp services etc.), Banking Partners, Payment Gateways, Analytics Platform, Cloud Services, ANPR/Hardware Integrations, etc. and who are bound by contractual obligations to keep personal information confidential and use it only for the purposes for which we disclose it to them.
• When a User reaches out to Krish-V FMS customer care for a specific query/issue, customer care personnel has to access your information to resolve your query.
Krish-V FMS will take explicit user consent if we partner with third-party companies, organizations, or individuals outside of Krish-V FMS to provide additional services or offerings to users. The use of such services may require you to share your name, email, phone number, flat details, vehicle number or other information with these partners. In such cases, Krish-V FMS will only share your information and offer you the service with your explicit opt-in. The services may contain links to third-party websites. Please be aware that we are not responsible for the content or privacy practices of other websites or services which may be linked to our services. We do not endorse or make any representations about third-party websites or services. Our Privacy Policy does not cover the information you choose to provide, or these third parties collect that.

For Legal Reasons: We may need to share or disclose some of your information outside Krish-V FMS without the consent if we have a good-faith belief that access, use, preservation or disclosure of the information is reasonably necessary for the following events:
• Meet any law, regulation or legal process as applicable or enforceable request from the government.
• To enforce applicable terms of service, including investigation of potential violations, fraud, security or technical issues/breaches.
• Information as necessary with your respective societies’ RWA as per terms of agreement.
• Protect against harm to the rights, property or safety of our users, Krish-V FMS, or the public as required or permitted by Law.

Consent: In some cases, we may process some of your information based on the consent you granted to your RWA as represented by them to Krish-V FMS or expressly to us at the time we collect such data. In case we need to process any of your information, we will be indicating to you at the point and time of collection. By using Krish-V FMS or any other domain owned by us, you are authorizing Krish-V FMS (including its representatives, affiliates, and its business partners) to contact you via email, phone call, push notification, WhatsApp or SMS and offer you our services for the product you have opted for, imparting product knowledge, provide promotional offers, for which your information may be collected in the manner as detailed under this policy. You hereby agree that you authorize Krish-V FMS to contact you for the above purposes, even if you have registered yourself under DND, DNC, or NCPR service(s). In this regard, your authorization shall be valid if your account is not deactivated.
You can withdraw your consent at any time via the platform or by writing to us at fms@krishvglobal.com. If you withdraw your consent, we will stop processing the relevant Personal Information except to the extent that we have other grounds for processing such Personal Information under applicable laws.
Your information will be shared with another business entity should we (or part of our business/assets) plan to merge with or be acquired by another business entity or in cases of organization restructuring or amalgamation. In case of such a transaction or re-organization, the new business entity will follow this Privacy Policy. All the affected users will be notified before personal information is transferred or becomes subject to different entities’ privacy policies.

Your Information Security

We build security into each and every system and service to protect your information.
All Krish-V FMS platforms and processes have strong security features that protect your information. Multiple real-time checks and tests are running to help us detect and automatically block security threats from ever reaching you. In case of any detection of threat or risk that we deem you should be aware of; we will notify you and guide you through steps to protect your privacy.
We are constantly striving to protect your data from unauthorized access, disclosure, modifications, or destruction of any information we hold, including:
• All information going in and out of the App is 256-bit https encrypted. TLS encryption is used throughout the application for data in motion and is encrypted at rest.
• All information is stored in servers with best-in-class firewalls and needs multiple authentications for any access, and no unauthorized person will have access to the same.
• We constantly review our information collection, storage and processing practices, including physical security measures, to prevent unauthorized system access.
• We restrict access to personal information to employees and external contractors who may need the information to process some services. Any internal employee with this access is subject to strict contractual confidentiality obligations, and strict actions (up to termination or criminal action) will be taken if they fail to meet these obligations.
• The Krish-V FMS app is certified and audited regularly. Krish-V FMS application and data servers do not use publicly accessible addresses or IPs. All traffic is routed through a WAF (Web Application Firewall) and is checked strictly for malicious traffic.
However, we would like you to understand and accept that data transmission over the Internet may be liable to risk, and we would assume no liability for any disclosure of information due to errors in transmission issues or unauthorized third-party access to our platforms or databases.
You acknowledge that as a registered user, you are responsible for maintaining the security of your account, such as your Account login credentials and passwords, and that you should not provide these credentials to any third party. If it comes to your knowledge that or if you have reason to believe that your Account credentials have been stolen or been made known to others, you must contact us immediately at fms@krishvglobal.com. You acknowledge that you are responsible for all acts using your Account login credentials. We are not responsible if someone else accesses your account because you failed to maintain the security of your Account credentials.

Your Information Retention and Deletion

The information collected on our platforms is retained for different periods depending on the information, its use, and how you configure your settings.
Users can request to export a copy of their information or delete it from their Krish-V FMS account at any given point in time (some information deletion may be subject to RWA approval, Krish-V FMS will facilitate the approval process):
When you voluntarily send us electronic mail / fillup the form, we will keep a record of this information so that we can respond to you. We only collect information from you when you register on our site or fill out a form. Also, when filling out a form on our site, you may be asked to enter your: name, e-mail address or phone number. You may, however, visit our site anonymously. In case you have submitted your personal information and contact details, we reserve the rights to Call, SMS, Email or WhatsApp about our products and offers, even if your number has DND activated on it.
All the visitors’ information is retained for a specific period (beyond which the data is deemed not reasonably necessary for the operation or by Law), and this interval will be at the discretion of the societies’ RWA. Krish-V FMS will delete all visitors’ information from its systems after 180 days by default. The RWA can reset this to 60 days, 120 days or 180 days, but no longer. Once deleted, even Krish-V FMS will not be able to retrieve past data.
Residents may request that their data on Krish-V FMS systems be erased at any time. This is referred to as the right to be Forgotten and can be triggered from the Krish-V FMS app or by writing to fms@krishvglobal.com.
We keep some data until your society is live on Krish-V FMS, and all such information is deleted if your society is no longer live on our platform.
In case you have left society on Krish-V FMS, you can delete all your details on our App and uninstall our App. In case of more assistance, you can write to fms@krishvglobal.com.
However, some data we may retain for more extended periods when necessary for legal purposes, such as security, fraud or financial record keeping.
When you delete data or request for deletion of data, we follow a process to ensure that all your data is safely and completely removed from all our servers. We also provide that none of your information is subject to accidental or malicious deletion. This may lead to delays between actual requests and final deletion as we ensure that information deletion is genuine and not accidental from our active and backup systems. Any requests will be replied to within 7 days and actioned within 30 days, subject to approvals from the RWA and not including their time in approvals.
